When you open a contact before a call, their activity stream now shows the newsletters they have been sent, along with whether they received it, opened it, clicked it, or whether the send failed. You no longer need to leave the record and check each campaign's report one at a time.
This article covers where newsletter cards appear, what each part of a card shows, what the engagement badges mean, and how to hide newsletter entries if they are crowding your stream.
Where Do Newsletter Cards Appear?
Newsletter cards show on contact records only, in two places:
- The Stream on the full contact record
- The Activity tab in the contact drawer
There is nothing to switch on. This is available to all accounts in Australia, New Zealand and the United Kingdom.
⚠️ Please Note: Newsletter cards do not appear on property or listing records, only on contacts. Nothing has changed about how newsletters are built or sent, this is about where the send is shown afterwards.
What Is on a Newsletter Card?
Each card covers one newsletter sent to that contact:
| Part of the card | What it shows |
|---|---|
| Title | Newsletter sent, followed by the campaign name as a link to that campaign's report |
| Body | The newsletter's subject line |
| Badge | The engagement status, explained below |
| Footer | The send date and time, then the mailing list it went to. If the newsletter went to more than one list, the names are separated by commas |
Clicking either the campaign name or the badge opens that newsletter's full report.
What Do the Engagement Badges Mean?
The badge updates as engagement information comes back in, so a card can change from Delivered to Opened after the contact reads the newsletter.
| Badge | What it means |
|---|---|
| Pending | The send is recorded but no engagement information has come back yet |
| Delivered | The send is recorded and nothing failed. It does not mean the contact read it |
| Opened | The contact opened the newsletter |
| Clicked | The contact clicked a link inside the newsletter |
| Bounced | The newsletter could not be delivered to that email address |
| Unsubscribed | The contact unsubscribed |
| Spam | The newsletter was marked as spam |
⚠️ Please Note: A Bounced badge is worth acting on. It means that email address is not reachable, so any future newsletter or email to that contact will also fail until the address is corrected.
Why Can I Not See an Older Newsletter?
The stream shows newsletters sent in the last 30 days only. Anything older is not displayed, and older sends are not added retrospectively.
The full history of every newsletter you have sent is still available in the Newsletters module, where you can open any campaign and see its report. See Newsletters: Introduction to Newsletters.
How Do I Hide Newsletter Entries From the Stream?
If newsletter entries are making a contact's stream harder to scan, you can filter them out on the full contact record.
- Open the contact and go to the Stream.
- Open the stream filter.
- Select all except Newsletter.
Your choice is saved against your own user, so you only need to do this once. It applies to every contact you open from then on, and it does not change what anyone else sees.
⚠️ Please Note: This filter is on the full contact record only. The contact drawer's Activity tab shows all activity types and cannot be filtered, so newsletter entries will still appear there.
Do I Need a Permission to See Newsletter Cards?
No. Newsletter cards follow the same visibility rules as everything else on a contact's stream, so if you can see the contact you can see their newsletter cards.
Opening the campaign report behind a card is different. That still needs your existing Newsletters access, so an agent without it will see the card but will not be able to open the report.
❓ Frequently Asked Questions
My stream is now full of newsletter entries. What do I do?
On the full contact record, open the stream filter and select all except Newsletter. That choice sticks for your user, so it only needs doing once rather than on every contact you open.
Why can I not see a newsletter I sent last month?
The stream shows the last 30 days only. Older sends are not shown and are not added retrospectively. The full history is still in the Newsletters module.
Can I turn this off for the whole agency?
Not at the moment. An individual agent can filter out Newsletter in the stream filter on the full contact record, and that choice is saved for them. There is no account-wide setting.
Every recipient of the same campaign shows the same time. Is that right?
Yes. The card is timestamped by when the newsletter was sent, not per recipient, so everyone who received that campaign shows the send time.
What does Delivered mean if the contact never opened it?
Delivered means the send was recorded and nothing failed. It does not mean the contact read it. Opened and Clicked are separate badges.
The contact unsubscribed. Why is their old newsletter still showing?
Past sends stay on the record. The card remains with an Unsubscribed badge, so you keep an accurate history of what was sent.
Does this show newsletters on a property or a listing?
No. Contact records only.
Are several newsletters to the same contact grouped together?
No. Each send gets its own card.
Did anything change about how newsletters are built or sent?
No. This only changes where a send is shown afterwards.
