New Zealand rules prohibit sharing the details of a live conditional contract with other potential buyers until it goes unconditional. The Restrict visibility of contracts before they are unconditional setting lets your agency limit who in your team can see those details in Rex.
This article covers who can see a restricted contract, how to turn the setting on, and what other team members see across Rex.
❗ Please Note: This setting is available to Australian and New Zealand accounts. It's off by default, so nothing changes until an admin turns it on.
How Do I Turn On Restricted Contract Visibility?
- 🔒 Go to Settings > Advanced Settings > Contract Conditions.
- Tick Restrict visibility of contracts before they are unconditional.
To turn it off, untick the setting. Everyone with access to the listing can then see its contracts again.
Who Can See a Restricted Contract?
When the setting is on, a contract's details can only be seen by:
- The team member who created the contract
- The agent assigned to the contract
- Team members with the Read Any or Update Any contracts privilege
Admins can always see every contract.
❗ Please Note: Team members also need access to the listing. If someone can't open a listing, they won't see any of its contracts anywhere in Rex, even if they created the contract.
Which Contracts Are Restricted?
- Restricted: contracts with an Offer or Accepted status.
- Visible to everyone with listing access: contracts that are Unconditional, Settled, Fallen or Withdrawn.
As soon as a contract goes unconditional, everyone with access to the listing can see it.
What Do Other Team Members See?
The restricted details are the purchaser, sale price, offer date and contract status. What a team member sees instead depends on where they're looking:
- Listing record > Contracts - the contract row still shows, with a padlock. The sensitive details show as dashes (-) and the row can't be opened, so your team knows a contract exists without seeing what's in it.
- Home stream - the contract activity is hidden.
- Contact record > Active Contracts - the contract is hidden. The section may show as empty.
- Contracts Report - the row shows, with Sale Price, Contract Status and Accepted as dashes.
- Listings Report - the row shows, with all contract columns as dashes.
- Other Lists > Contracts - the row shows, with all contract columns as dashes.
- Contract Statuses reports (Created in Period, Accepted in Period and Pending Settlement) - the contract is left out.
- REINZ Control Centre - the purchaser and sale price show as dashes.
- Rex Pocket - the contract is hidden.
Exports from these reports and lists follow the same rules.
❓ FAQs
Is there a new privilege for this?
No. The setting uses the existing contract privileges. To let someone see all restricted contracts, give them Read Any or Update Any for contracts.
Why can't I see a contract on a listing?
If the row shows dashes and a padlock, the contract is restricted and you didn't create it, aren't assigned to it and don't have Read Any or Update Any. Ask your Rex admin if you need access.
Why are fallen and withdrawn contracts still visible?
The rule is about live offers that could affect other buyers. A fallen or withdrawn contract is no longer live, so it isn't restricted.
Why did my Active Contracts section go empty?
If the setting is on, contracts you can't see are hidden from the contact record rather than shown with dashes.
Does this change anything if the setting is off?
No. With the setting off, Rex works exactly as it did before.
