Minimise administrative overhead for contract management
Rex CRM includes the ability to save common contract conditions and apply these to listing contracts automatically. Saving you time and administrative headaches as the sale progresses from acceptance to settlement.
Apply only to the relevant listing types
Preset conditions can be set up in such a way that they can be customised according to the needs of each individual sale too. You can set Rex CRM up to allow these conditions to be set on specific listing types if your agency operates in both the commercial and residential space, for example. You can also choose whether the preset condition automatically applies to specific listing types. This ensures a condition is never missed and minimises any compliance risk your agency might face.
Allow customisation according to the needs of each sale
Preset conditions include a description. This can be customised to allow users to make changes once applied, in cases where wording needs to be altered for the circumstances of an individual sale.
To add a preset contract condition in Rex CRM, do the following:
1. Open 'Settings' > 'Advanced Settings' from the main menu
2. Go to 'Contract Conditions'
3. Click on the '+' button at the top left
4. Enter the name of the condition
5. On the next screen, in the 'description' box, enter the description of the condition or clause
6. On the 'listing types' list, select which listing types the condition is allowed to be applied to under the ‘Allow’ column
7. On the 'listing types' list, select which listing types the condition should be automatically added onto contracts under the ‘Auto-add’ column
Managing Preset Contract Condition Ordering
Rex CRM allows you to configure the order in which these conditions are applied onto a contract. This is useful if you are using the REINZ integration.
To manage the order in which preset contract conditions apply, do the following:
- Open 'Settings' > 'Advanced Settings' from the main menu
- Go to 'Contract Conditions'
- Click the button with three horizontal lines
- Drag and drop the conditions into your desired order
- Click 'save'
Applying a Preset Contract Condition
To manually apply a preset contract condition to a Listing in Rex CRM, do the following:
1. Open a Listing record
2. Open the Legal tab
3. Hover over a contract, or click the plus button to create a new one
4. In the 'conditions' section, click the ‘add condition’ button
5. In the dropdown, click ‘Add Preset Condition’
6. In the dialog, select the condition you want to apply
7. Make any desired edits to the description and/or due date
8. Click 'save'
NOTE: If configured to auto-apply, preset contract conditions will appear on a contract when you create one from a listing record with the ‘Auto-added’ label.
Managing Condition Ordering on a Contract
To manage the order in which conditions appear on a Contract, do the following:
- Open a Listing record
- Open the Legal tab
- Hover over a contract
- Click ‘View/Edit’ on the dropdown
- In the conditions section, click the ‘manage conditions’ button
- Drag and drop the conditions into your desired order
- Click 'save'
