Rex sends automatic email reminders before a commercial tenancy reaches its lease expiry date, so you don't miss a renewal conversation or a re-leasing opportunity. Alerts are sent at two intervals, and individual users can choose whether they receive them.
When Alerts Are Sent
You'll receive an email reminder at two points before a lease expires:
| Alert | Sent | Useful for |
|---|---|---|
| 6 months out | Exactly 6 months before the lease expiry date | Strategic planning, landlord conversations, early marketing |
| 3 months out | Exactly 3 months before the lease expiry date | Engaging the tenant on renewal, listing for re-lease |
Each email includes the property address, tenant names and a direct link to the tenancy record.
Who Receives the Alerts
Alerts are sent to the record owner of the property that the tenancy is linked to (not the property manager field on the tenancy itself). If property ownership is reassigned, the new owner will start receiving alerts.
Only active tenancies trigger alerts. Archived, trashed or expired tenancies are skipped.
Turning Alerts On or Off
Each user can control whether they receive lease expiry alerts:
- Click your profile icon and go to My Settings
- Open the Notifications section
- Find Upcoming Expiry Reminder
- Toggle email notifications on or off
What to Do When You Receive an Alert
The email contains a button that takes you straight to the tenancy record in Rex. From there you can:
- Review the lease details and option clauses
- Check related contacts (tenants, landlord)
- Open the linked property record
- Renew the tenancy, or end it and create a new listing
