What do I need to use AI Admin?
AI Admin is available on desktop in Rex CRM, and on mobile in Rex Pocket. For Pocket, version 4.3.0 or later is required, available on iOS and Android. We recommend keeping Pocket updated to the latest version, as this resolves most issues (see Troubleshooting below).
How does AI Admin handle high-risk actions?
AI Admin is risk-aware by design. High-risk actions, like sending emails or creating appraisals, always require your approval before they run. Low-risk actions (adding notes, setting reminders) can be bundled into a single approval. You always see an action plan before anything changes in the CRM. Nothing changes without your sign-off.
Is AI Admin data private and GDPR compliant?
Yes. AI Admin uses only Rex's existing CRM data, with no external data sources. Web access is blocked (the assistant cannot browse the internet). All data is processed within Rex's secure infrastructure. GDPR compliance and Australian Privacy Act compliance are confirmed.
Troubleshooting
Please Note: Most AI Admin issues are resolved by updating Rex Pocket to the latest version. It's worth checking the App Store or Google Play for an update before anything else.
AI Admin says my login session has expired, even after I log back in.
This can affect users who have more than one Rex account and switch between them. To fix it:
- Fully log out of Rex Pocket
- Update to the latest version of Rex Pocket from the App Store or Google Play
- Log back in to the correct account
If it keeps happening after updating, contact Rex Support with your account name, your user details, and your Pocket version number.
I've entered a command but AI Admin isn't doing anything, it just stays open.
This was a known issue that has been fixed in a recent version of Rex Pocket. Update to the latest version from the App Store or Google Play. If you are already on the latest version and it still happens, contact Rex Support with your account name, the exact prompt you entered, what you expected to happen versus what actually happened, and your Pocket version.
My voice message isn't being processed automatically.
After a recent update, a recorded voice message may not start processing on its own. After recording, send a short follow-up message such as "go ahead" or "process" to prompt AI Admin to act on it. A fix to restore automatic processing is on the way.
AI Admin isn't recognising my accent correctly.
Voice transcription can sometimes struggle with strong or regional accents. As a workaround, use your phone's own voice-to-text (the microphone button on your keyboard) to dictate the prompt as text, then submit that text to AI Admin. The latest version of Rex Pocket also lets you edit a transcription before submitting it.
This same approach works if you want to dictate in a language other than English. Your phone's voice-to-text handles the language and passes the text to AI Admin.
My voice prompt was only saved as a note instead of carrying out the action (Android).
This was an Android-specific issue that has been fixed in the latest version of Rex Pocket, so update via Google Play. While you are updating, you can type the prompt as text instead of using voice.
