Track communications and keep owners informed
Rex CRM includes a status update mechanism to allow you to effectively manage the state of each incoming tenancy application and make administrative work effortless. Keep your owners in the loop with easy communication shortcuts.
Adding a Tenancy Application in Rex CRM
To add a Tenancy Application to a Listing in Rex CRM, follow these steps:
- Go to the Listing record
- Open the 'Applications' tab
- Click the Red 'Plus (+)' icon to add an Application
- Enter the details of the Application, as well as the details of the tenant(s)
- Click 'Save'
Changing the Application Status on a Listing / Mark an Application as Accepted
You can change the status of a Tenancy Application from the 'Applications' tab on a Listing.
To do this:
- Go to the Listing
- Open the 'Applications' tab
- Hover over the Application you wish to mark as successful
- Click the action 'arrow'
- Click ‘Update Status’ from the dropdown
- Tick the checkbox for the status you want to change to
- Enter the date the status changed on the right
- Click ‘Save’
Once the status is changed to ‘Accepted’, this information is pushed to portals to show the Listing is under application.
Marking an Application as Unsuccessful / Deleting an Application
Rex CRM allows Tenancy Applications to be deleted. However once an Application has been communicated to the landlord / listing owner, it cannot be deleted. It can only be marked as ‘Unsuccessful’ from the Applications tab.
To delete an Application:
- Go to the Listing
- Open the 'Applications' tab
- Hover over the Application you wish to mark as unsuccessful
- Click the action 'arrow'
- Click ‘Delete’ to from the dropdown to delete the application
- Click ‘Delete’ on the confirmation dialog to confirm your intent
Note: You cannot undo the deletion of an application.
To mark an Application as unsuccessful:
- Go to the Listing
- Open the Applications tab
- Hover over the Application you wish to mark as unsuccessful
- Click the action 'arrow'
- Click ‘Update Status’ to from the dropdown
- Click ‘Mark as Unsuccessful’ on the dialog
- Enter the date the Application was unsuccessful
- Click ‘Save’
To undo an Application’s unsuccessful status, follow the above steps above and to mark the application as ‘available’.
Sending Applications to the Landlord
Multiple tenancy applications can be sent to the landlord(s) / listing owner(s) at once. The first related contact with relationship type 'Listing Owner' will be used as 'to', and any additional Listing Owners will be included in the CC.
To send applications, follow these steps:
- Go to the Listing record
- Open the Applications tab
- Select the application(s) you want to send to the landlord / listing owner
- Above the list, click the 'Send applications to listing owner' button
- Verify the information and the recipients are correct
When the application is sent to the listing owner(s), it will automatically be marked as ‘communicated’ and can no longer be deleted.
