Some contacts in Rex represent more than one person — such as couples, co-owners, or business partners. The Multi-name Contact Record feature gives you greater control over how these contacts are managed, making it easier to track who owns which communication details and how names are displayed across the system.

Linking emails to a specific person
When you add an email address to a contact with multiple names, a Name column will appear in the Email section. For each email, you can:
- Select a specific name to assign the email to that person, or
- Select Shared Email if the address belongs to both people
The default selection is Shared Email, so your existing workflow isn't disrupted. Labels such as Work, Personal, and Custom continue to work as normal.
Note: If a name is removed from the contact, any email addresses linked to that name will automatically revert to Shared Email.
Linking phone numbers to a specific person
The Phone section works the same way. When adding a phone number to a multi-name contact, a Name column appears. For each number, you can:
- Select a specific name, or
- Select Shared Phone
Labels (Mobile, Home, Work, Fax, Custom), Primary phone, SMS, and calling functionality all continue to work exactly as before.
Reordering names
To change the order in which names appear:
- Open the contact and click to edit the names
- In the Edit Names pop-up, use the drag handle next to each name to reorder them
- Save your changes
The updated order will be reflected everywhere in Rex, including contact lists, search results, and contact-select fields.
Frequently asked questions
Will my existing contacts be affected? Existing multi-name contacts will have all current email addresses and phone numbers set to Shared Email or Shared Phone by default — no data will be lost or reassigned automatically. Single-name contacts are unchanged unless a second name is added.
Does this affect deduplication or merge tags? No. Deduplication and merge tag behaviour remain exactly the same.
What happens to emails or phone numbers if I delete a name? They will automatically revert to Shared Email or Shared Phone.
Do single-name contacts look different? No. The Name column only appears in the Email and Phone sections once a second name has been added to the contact.
