End to End Example - A Standard Property Lifecycle with Rex Automations
Overview
This article outlines how an agency can use Rex Automations to automatically manage Tracks throughout the full property lifecycle — from appraisal to listing to sale.
By using a small number of Track-based automation templates, agencies can ensure:
- Consistent communication with vendors and buyers
- Automatic workflow transitions between stages
- Reduced manual admin for agents
- Clean and accurate record management
These automations run in the background, meaning agents can focus on their day-to-day work while Rex ensures the correct Tracks are added and removed at the right time.
1️⃣ Appraisal Stage: Managing Prospective Vendors
Automation Templates Used
- Add Track when Appraisal moves Pipeline Stage
- Remove Track when Appraisal moves Pipeline Stage
How It Works
When an agent moves an appraisal into the “Appraisal Completed” pipeline stage:
- An automation automatically adds a “Vendor Nurture” Track to the appraisal contact.
- This Track can include scheduled follow-ups, vendor check-ins, and ongoing communication tasks.
If the appraisal progresses to “Listing Won”:
- A second automation automatically removes the Vendor Nurture Track, preventing duplicate or irrelevant communications once the vendor becomes an active client.
Result
- No prospective vendor is missed.
- Agents don’t need to remember which Track applies at each stage.
- Communication remains relevant and timely.
2️⃣ Listing Created: Moving from Prospect to Active Listing
Automation Templates Used
- Add Track when Listing Created
- Remove Track when Listing Created
How It Works
When a new Listing is created:
- An automation adds an “Active Listing Management” Track to the Listing.
- This Track might include:
- Marketing checks
- Price review reminders
- OFI preparation tasks
- Vendor update schedules
- This Track might include:
At the same time:
- Another automation removes any pre-listing or appraisal-related Tracks that are no longer required.
Result
- Every listing starts with the correct workflow automatically.
- Old Tracks are cleaned up without manual effort.
- Listing management remains consistent across the office.
3️⃣ Listing Sold: Transitioning to Buyer Follow-Up
Automation Templates Used
- Add Track to Purchasers when Listing Sold
- Remove Track when Listing Sold
How It Works
When a Listing is marked as Sold:
- An automation adds a “Buyer Onboarding / Post-Sale” Track to all purchasers.
- This Track may include:
- Settlement reminders
- Handover communications
- Post-sale follow-ups
- This Track may include:
At the same time:
- Another automation removes the Active Listing Management Track from the Listing.
- This ensures no outdated tasks remain attached to the closed deal.
Result
- Buyers receive a structured, professional post-sale experience.
- Agents don’t need to manually start buyer Tracks.
- Sold listings remain clean and free of unnecessary admin tasks.
4️⃣ The Big Picture: What This Achieves
By combining just six default automation templates, an agency can create a fully automated Track lifecycle:
Appraisal → Listing → Sale
This approach delivers:
- A structured and automated Track lifecycle
- Consistent service delivery without relying on agent memory
- Clean handovers between lifecycle stages
- Improved compliance and follow-up
- Reduced manual admin and fewer errors
Most importantly, all of this happens automatically in the background. Agents simply update pipeline stages and listing statuses as part of their normal workflow, and Rex ensures the appropriate Tracks are applied and removed at the right time.
