Rex Automations – Track Automation Engine
Rex Automations introduces a powerful, Track-focused automation engine designed to ensure the right processes happen at the right time — automatically.
This feature enables agencies to scale service delivery, reduce manual effort, and maintain consistent compliance across the property sales lifecycle.
Overview
Rex Automations provides:
- Automation Rules available in
Settings → Automations A clear, structured framework:
Module → Trigger → Conditions → Action (Add/Remove Track)
- Built-in guardrails to ensure reliability and predictability
- Permission controls for managing access
- A template-first setup model via the Rex Default Automation Library
Automation Structure
Each automation rule follows a simple and opinionated structure:
- Module
Where the automation applies (e.g. Listings or Appraisals). - Trigger
The lifecycle event that activates the rule (e.g. Listing Created, Listing Sold, Appraisal Stage Change). - Conditions (Optional)
Additional filters such as Listing Type or other criteria. - Action
Add or Remove a Track.
This structure keeps automations simple, transparent, and easy to maintain.
Guardrails by Design
Rex Automations is built with reliability in mind:
- No recursion
Updates triggered by an automation will not trigger other automations. - Explicit enable/disable control
Each rule must be manually enabled and can be turned off at any time. - Validation before enabling
Rules are validated to prevent misconfiguration. - Predictable behaviour
No hidden logic or unexpected outcomes. - Clear visibility
All rules are visible in Settings, making them easy to audit and manage.
Permissions
Access to Automation Rules is permission-based.
Administrators can control which users can:
- View automations
- Create and edit rules
- Enable or disable automations
This ensures governance while allowing operational flexibility.
Automation Templates (Beta)
Rex includes a set of Rex Default automation templates designed to support common Track workflows.
Available Templates
- Add Track when Listing Created
- Remove Track when Listing Created
- Add Track to Purchasers when Listing Sold
- Remove Track when Listing Sold
- Add Track when Appraisal moves Pipeline Stage
- Remove Track when Appraisal moves Pipeline Stage
Important Notes
- Default templates are read-only.
- To use one, you must duplicate the template.
- The duplicated version becomes fully editable.
- You then:
- Select the relevant Track
- Apply optional conditions (if required)
- Enable the rule
How It Works
- Navigate to Settings → Automations
- Select a Rex Default template
- Duplicate the template
- Choose the Track to add or remove
- Apply optional conditions (e.g. Listing Type)
- Enable the rule
Once enabled, the automation runs in the background.
Tracks added or removed via automation behave exactly like manually applied Tracks, including:
- Reminders
- Visibility on Listings, Contacts, Properties, and Appraisals
- Standard Track functionality
