Follow-ups is the one place to manage buyer feedback after your open homes and private inspections. You can see at a glance which inspections are still waiting on feedback, which feedback is ready for the vendor, and what has already been sent, so nothing slips through the cracks (even when a colleague is away).
This article covers where to find Follow-ups, what the three stages mean, how to add feedback, how to filter and group your list, and how to mark feedback as sent.
❗ Please Note: The new Follow-ups screen is being rolled out gradually. If your Follow-ups still shows as a stream of cards on the Home screen, your account doesn't have the new screen yet.
What Is the Follow-ups Screen?
Follow-ups lists every open home and private inspection that needs feedback, then tracks that feedback all the way through to your vendor. Three stages across the top of the screen show where each one is up to:
Awaiting feedback > Feedback to send > Sent to vendor
You can add feedback, send it to the vendor and record what has been sent without leaving the screen.
Where Do I Find Follow-ups?
- Go to Home > Follow-ups.
- The screen opens on Today, with the Awaiting feedback stage selected.
- In Australia and New Zealand, it opens on Open Homes. To see your private inspections instead, change the Type filter to Private Inspections.
Please Note: UK accounts open on Viewings instead of Open Homes.
What Do the Three Stages Mean?
| Stage | What's in it | How it moves on |
|---|---|---|
| Awaiting feedback | Open homes and private inspections that don't have feedback yet. | Moves to Feedback to send (or straight to Sent to vendor) once you add feedback. |
| Feedback to send | Feedback that has been saved but not yet sent to the vendor. | Moves to Sent to vendor when you send it, or when you mark it as sent. |
| Sent to vendor | Feedback that has gone to the vendor, with the date and time it was sent. | Stays here. Feedback marked as sent can be moved back with Mark as unsent. |
Stages update automatically based on what you do, so there is nothing to drag between them.
How Do I Add Feedback From Follow-ups?
- Go to Home > Follow-ups and select the Awaiting feedback stage.
- Find the open home or private inspection, then click + Add feedback on the row.
- Fill in the feedback details.
- Leave Approve for reporting ticked if you want the feedback to appear in vendor reports and Rex Hub.
- Click Save. The feedback moves to the Feedback to send stage, ready to send to the vendor when you're ready.
❗ Please Note: UK accounts also see a Send feedback to vendor checkbox here, which emails the feedback to the vendor straight away. This is coming to Australia and New Zealand soon. For more info, see - Follow-ups: Sending Feedback to the Vendor.
How Do I Filter and Group Follow-ups?
Use the filters at the top of the screen to narrow down your list:
- Type - Open Homes or Private Inspections.
- Listing Agent - Me, Anybody, My Team, or Specific Users.
- Listing - show follow-ups for one listing only.
- Date - Today, Last Week, Last Fortnight, Last Month, or a custom from/to range.
- Approval - whether the feedback is approved for reporting. This filter only appears on the Feedback to send and Sent to vendor stages.
You can also Group by Date or Listing. Grouping by Listing is handy when you want to see all the feedback for one property together.
Please Note: The list is always sorted with the oldest open home or inspection first, so the ones that have been waiting longest are at the top. The Last Quarter, Last Half Year and Last Year date options are no longer available. Use a custom date range to look further back.
How Do I Mark Feedback as Sent or Unsent?
If you've already shared feedback with the vendor outside of Rex (for example over the phone or in your own email), you can mark it as sent so it doesn't sit in Feedback to send. This is also a quick way to clear a backlog of older feedback.
- Go to Home > Follow-ups and select the Feedback to send stage.
- Find the feedback and click Mark as sent on the row.
- The feedback moves to Sent to vendor and shows Marked as sent with the date, time and a pencil icon. No email is sent.
To undo it, go to the Sent to vendor stage and click Mark as unsent. The feedback moves back to Feedback to send.
Please Note: Feedback that was emailed to the vendor through Rex shows Sent to vendor with a green tick, and can't be marked as unsent.
Does Approve for Reporting Still Work the Same Way?
Yes. Approve for reporting still controls whether feedback appears in your vendor reports and on the vendor's Rex Hub. It is ticked by default, and you can see and change it on each row in Follow-ups.
Sending feedback to the vendor and approving it for reporting are separate. Approving feedback doesn't send it, and sending feedback doesn't approve it.
What Happened to the Old Feedback Tab?
Once the new Follow-ups screen is turned on for your account, the old Feedback tab is hidden. Everything it did, including reviewing and approving feedback, can now be done from Follow-ups. If your agency needs the old Feedback tab back, contact Rex Support.
❓ FAQs
Why can't I see the new Follow-ups screen?
The new screen is being rolled out gradually, so it may not be turned on for your account yet. Until then, your follow-ups continue to work as they do today.
Can I change the sort order?
No. Follow-ups always shows the oldest open home or inspection first, so nothing that has been waiting a while gets buried.
Can I see follow-ups for other agents' listings?
Yes. Change the Listing Agent filter to Anybody, My Team or Specific Users. This is useful for picking up feedback when a colleague is away.
Does marking feedback as sent email the vendor?
No. Mark as sent only records that the vendor already has the feedback. To email feedback from Rex, see - Follow-ups: Sending Feedback to the Vendor.
