To send documents for signing from Rex, you first need to make sure you have the appropriate templates set up in DocuSign or HelloSign.
Once you have created the templates in DocuSign or HelloSign, you then have to set them up in Rex as well.
Setting up a template in DocuSign
- From the main menu, go to “Templates”.
- Click “Create New Template”
- Give your template a name and description. Note down the name, as you’ll need to select this in Rex later.
- Upload the document that you want signed. This should usually be a .docx or .pdf file.
- Add your desired recipients, giving each a “Role” (e.g. “Vendor” or “Agent”). When adding recipients you should leave name and email blank; these fields will instead be populated with data from Rex at sending time.
- Once you’ve added your recipients, click “Next”.
- You can now insert your desired fields into the document by dragging them from the left pane. These are fields that you want to either be filled out automatically from Rex data, or filled out at the time of signing by the signer. The common ones are name, signature, and sign date, but you can insert whatever fields you want.
- Use the toggle on the top left to switch between the different roles you’ve set up
- Note: When adding fields, it's helpful to replace the autogenerated label with a more readable one that describes the field. This makes it much easier to the refer to the field later on when setting up the template in Rex
- Once you're done, hit “Save”. You are now ready to link this template to Rex (link to other help article).
Setting up a template in HelloSign
- From the main menu, go to “Templates”.
- Click “Create A Template”
- Upload the document that you want signed. This should usually be a .docx or .pdf file.
- Add your desired recipients roles, giving each a name(e.g. “Vendor” or “Agent”).
- Once you’ve added your recipients, click “Prepare for signing”.
- You can now insert your desired fields into the document by dragging them from the left pane. These are fields that you want to either be filled out automatically from Rex data, or filled out at the time of signing by the signer. The common ones are name, signature, and sign date, but you can insert whatever fields you want.
- When inserting a field, Use the toggle on the top right to switch between the different roles you’ve set up
- Once you're done, hit “Continue”.
- Give your template a title (you’ll refer to this title later on in Rex) and a description. Once done, hit “Create Template”. You are now ready to link this template to Rex (link to other help article).
