We understand how important it is to have custom relationship types for Property - Contact relationships, as well as Listing - Contact relationships. Because these custom relationship types can affect the way that merges work in Rex, we've made it so you can create your own relationships and choose how you'd like that particular relationship type to behave.
Setting up Custom Relationships:
- Go to Settings > Custom Values & Mailing Lists
- On the left-hand side, go to Relationship Categories
The dialogs are slightly different for Properties and Listings, so we'll first take a look at Property
Relationship Categories:
- Click the + Plus icon to Add Relationship Category next to Property Relationship Categories
- Enter in the new relationship category name (eg Building Manager)
- Enter the parent category
What is this? The parent category affects the presentation of the relationship throughout Rex and how you communication with the contacts of this category
Example: If this building manager was acting as the current tenant, you would select the parent category to be 'Tenant' so that they're included in all communications to tenants - When a parent category has been chosen, you can tick to exclude from mass merge communications if needed
- Select the behaviour of what relationship you'd like this contact to have when the building is listed
Example: When a contact is a properties Owner, when listed, they will be converted to the Listing Owner
Now we'll look at Listing Relationship Categories:
- Click the + Plus icon to Add Relationship Category next to Listing Relationship Categories
- Enter in the new relationship category name (eg Building Manager)
- Enter the parent category
Example: The Power of Attorney is essentially acting as the owner, so we'll select Owner as the parent category - When a parent category has been chosen, you can tick to exclude from mass merge communications if needed
- Select the behaviour of the contacts relationship to the property when the listing is marked as sold
- Select the behaviour of the contacts relationship to the property when the listing is marked as leased
In the above example, you'll see that the relationship is a Power of Attorney that will act as the Owner in all types of communication in Rex. When the listing is sold, the contacts relationship of 'owner' will be removed from the property record. When the listing is marked as leased, the contacts relationship of 'Tenant' will be removed from the property record.
