Every time Rex receives an email in your Email Dropbox, it attempts to automatically attach it to a Contact record for you.
For each recipient associated with the email address, it performs a search for matching Contacts that you have access to. If it finds a Contact, the email will be attached to that Contact.
If the email is attached to at least one Contact record in Rex, it will appear as 'filed' when you view it in your Dropbox screen.
Modifying the Auto File settings
The behavior above is appropriate for most open and closed offices - if you can read the details of the Contact record, then your email will be filed against that Contact record.
In offices that have higher privacy settings regarding Contacts however, you may not want the email to be filed against just any matching Contact. You might, for example, only want it to be filed against a Contact that you have rights to update, or even only a Contact that you specifically own.
To allow for these scenarios, we've provided you with an extra personal setting which controls exactly what kind of access you need to have to a record (read/update/owner) when the system is evaluating whether or not it should attach the email to that Contact.
You can adjust this setting in the Email Dropbox section from your settings from the Auto File Preferences - Minimum Contact Rights dropdown. Your three choices are:
-
Any (Default): The Contact will be considered a valid match if you have read access to the record.
-
Update: The Contact will only be considered a valid match if you have update rights on the record, or if you own the record.
-
Owner: The Contact will only be considered a valid match if you own the record.
