Depending on how your office is set up to run, sometimes you may wish to allow other agents to view previously sent communications to contacts - Rex now allows you to manage this privilege.
You'll now have the option to Read Other's Mail Merges.
Typical Open Office Permissions
For agencies using an open office set up, you will need to update the privilege so that the user can read any mail merge sent in the stream.
To update these privilege, you'll find this under;
- Users & Security > Select your user
- Go to Privileges > Switch to Advanced Privileges Mode and scroll to Mail Merge
- You'll need to tick the following options:
- Hit Save Changes and advise the user to reload through Rex.
Typical Closed Office Permissions
For agencies using a strict closed office set up, you're probably not wanting to allow other agents to view merges sent on records.
We have created a new privileges that will now allow you to hide this information.
This means that mail merges sent by anyone other than yourself are not visible to other agents.
To update these privileges, you'll find this under;
- Users & Security > Select your user
- Go to Privileges > Switch to Advanced Privileges Mode and scroll to Mail Merge
- You'll need to untick the following options:
- Hit Save Changes and advise the user to reload through Rex.
If agencies are using the Rex default Open Office and Closed Office roles they shouldn't need to update anything at all. You should only need to do this if you're using custom privilege sets or managing privileges in a granular way.
